Build a Georgia Renewal Calendar That Starts Before Expiry

An expiry date is the last visible point in a process that may require appointments, new evidence, translations, payment and correction. A useful renewal calendar begins with the first action you control.

Track decisions, not document names

For each item, record:

The document expiry planner creates a local one-time reminder from a verified date. It cannot know the legal lead time; you supply that after checking the authority.

Use six renewal buckets

Identity and immigration

Passport, lawful-stay basis, visa/residence application, residence card and any work-authorization dependency. Keep these as separate rows even when one packet relies on another.

Check the current Public Service Development Agency residence permit page for route-specific timing. The status map prevents one approval from being treated as all statuses.

Insurance and healthcare

Policy end, premium due, eligibility/re-underwriting questions, assistance contacts, provider changes, medication review and records needed for continuity. Confirm whether coverage is continuous during payment/renewal processing.

Housing and utilities

Lease notice, renewal negotiation, rent change, deposit evidence, building/service agreement, internet plan and meter/account review. Read the exit path even if you expect to stay.

Work and business

Employment term/notice, contractor agreements, client vendor records, professional insurance, IE/SBS status review, recurring declarations and access credentials. A monthly obligation is not a renewal, but it belongs in the same evidence system.

Transport and property

Driving/vehicle, parking, inspection/insurance/service and any property-specific agreement. Verify the controlling authority/provider rather than carrying a foreign renewal assumption into Georgia.

Recovery access

Phone numbers, email, password manager, authenticator, bank cards, trusted contact authority and secure backups. These do not show a legal expiry but can silently stop working.

Work backwards with four dates

  1. Final date: the verified expiry/due date.
  2. Safe submission date: final date minus current processing and correction buffer.
  3. Evidence-ready date: submission date minus time for documents, translation and payment.
  4. Review date: an earlier point to confirm the rule and choose renew/change/close.

Put the review or evidence-ready date in the primary calendar. Put later stages as checkpoints, not as the first alarm.

Add dependency arrows

Examples:

  • new passport → updated bank/insurance/residence record;
  • work authorization evidence → work-residence application;
  • lease decision → internet transfer/closure;
  • translated/apostilled certificate → authority submission;
  • policy quote → payment → active coverage evidence;
  • final meter → utility balance → rental deposit close.

If one predecessor slips, update every dependent date. A calendar with independent reminders hides the chain.

Preserve the renewal packet

Save:

  • old document/policy/contract and prior application;
  • current official requirement or counterparty instruction;
  • source documents and translation/authentication chain;
  • appointment/queue reference;
  • submitted packet and payment;
  • correction request and response;
  • final decision/new document;
  • new expiry, conditions and next review date.

Do not overwrite the old item with the new scan. The transition is part of the evidence.

Run two reviews

Monthly: 15 minutes

  • scan next 120 days;
  • confirm owner and first action;
  • chase open submissions/corrections;
  • add newly issued documents and dates;
  • test critical access.

Quarterly: dependency audit

  • reopen high-risk authority pages;
  • review passport/contact/address changes;
  • test whether linked phone/email/payment paths still work;
  • confirm household backup access;
  • remove reminders for deliberately closed obligations;
  • archive outcomes and create the next cycle.

Escalate uncertainty, not only lateness

If you cannot identify the authority, rule, basis, acceptable document or effect of missing the date, the item is already at risk even when expiry is months away. Ask the competent body or qualified adviser while correction remains possible.

The calendar is complete when each row has a verified basis, first action, owner, evidence location and recorded outcome—not when every date has a notification icon.
